Searching for Usage Records
Once you’ve successfully supplied your credentials, the next step is to create a list of assets. You can do that in several ways:
- Use the search bar to filter for records
- Use the sort buttons to manipulate your list
- Use the camera on the native device to scan barcodes or QR codes
- Use a Maximo saved query to bring back a list of records
Your searches must be performed while connected before you go out into the field where you may lose coverage. Once you have curated your list, you may go offline. Your list will remain and is still filterable (including scanning). By default, MxIssue will only show 10 records from the Default Insert Site associated with your Maximo profile. Once you reach the bottom of the list of work orders, the next set of 10 work orders will load automatically. You can change the amount of records that load at a given time in settings.
Use the sort buttons
The main search list allows you to preview asset descriptions, the usage number, usage type or the site of the record. Touching the three sort buttons below the search bar allows you to filter by usage number, usage type, or description. These options are configurable.
Some records may have a color-coded band on the left. Their meanings are:
Orange: An Offline Transaction is pending for the asset.
Use the Search Bar
You can use the search bar to enter search criteria for your record. Usage numbers, usage types, and descriptions are searchable by default. After entering your search term, the app will automatically filter the list.
Scan for Assets
Use your device’s native camera to scan for assets with both barcodes or QR codes. Touch the scan icon to the right of the search bar to launch the scanner.
Opening a Usage Record
Once you have located the usage record that you want to view, you can open the record by touching the description from the list. Within each usage record details, there are 4 main descriptors: usage number, usage type, status, and site. Beneath the descriptors is a table of your usage items. There are 6 columns detailing each usage item: line number, item number, item description, work order number, bin number, and quantity.
Navigating Through the Records List
You can go to the next usage item by pressing the arrow buttons at the top right, or simply swiping to toggle through.
Changing the Number of Records Shown
By default, MxIssue will load 10 assets at a time. If you wish to change that, go to 'settings' by clicking the hamburger menu. There is an option that says “records to show”. Choose this and here you can change the number of records that load at a given time.
Note: The higher the number of records you choose to load the longer it will take for the record sets to load.
Creating a Usage Record
From the home screen, you will open the hamburger menu at the top left and select "Create Inventory Usage". You will be taken to a list of work orders which can be searched through or sorted by work order number, description, or status. Once you select the work order, you will then be taken to a list of items. You can scroll, search, or sort the list of items by item number or bin number.
Create Inventory Usage Select Work Order Choose an Item
Enter a Description and Quantity
After selecting a work order and choosing an inventory item, the next step is to enter a description for the inventory usage and the quantity for the item.
Summary of Usage Record
Once you have entered the usage record description and the quantity of the item you selected, click "next". You will be taken to a summary of the usage record you are creating. You can either select "Create Record" or "Create and Complete Record".
Create a Usage Record
If you select "Create and Complete Record" when creating a usage record, the usage record will automatically be sent to Maximo and not appear on your list. But if you select "Create Record", the record can be shown on your list of usage records on the MxIssue home page.
Complete a Record from the List
From the home screen select the usage record you want to complete. Within the usage record details page select the hamburger menu at the top left and choose the "Complete Record" option. You will then have the option to provide a memo for the usage record prior to selecting "complete Record".
Offline Capabilities
MxIssue has offline capabilities. To go offline click on the hamburger menu and select the "Go Offline" option.
Completing a Record Offline
While offline you can complete a record. Select the record and from the details page tap the hamburger menu button. Select the "Complete Record" option. You will be given the option to type a memo prior to completing the record. Once you select "complete Record", the usage record becomes a pending transaction. The number of pending transactions is indicated by a red number in the top left, where the menu button is, usually. Offline transactions are indicated by an orange line within the list of records.
Processing Pending Transactions
When you reconnect to internet you can then process any pending transactions by opening the hamburger menu and selecting the "Pending Transactions" option. You will see the list of pending transactions. You can swipe left to delete any unwanted transactions prior to processing. To process the transaction select the "Process Transactions" button. Once the transactions have successfully been processed you will receive a message that says "No more transactions to process. Yeah!"
Troubleshooting Tips
- Make sure that your device can see the IBM Maximo environment from the connection you have. One trick is to open a browser on your device and see if you can navigate to the IBM Maximo URL for your organization. If the login page returns successfully, then you’re on the correct network and you should be able to use that same URL within the apps. If the login page doesn’t come back, then that means your device can’t see Maximo – which means the apps won’t be able to see Maximo either. In this case make sure your device is connected to a company Wi-Fi network or VPN. The device needs to be able to see that Maximo environment, unless you’re running Maximo in the cloud and can access it from anywhere. Another tip is to increase the HTTP Timeout value by clicking the "Advanced Settings" button on the login screen. This will expose the HTTP Timeout setting, which can be increased from its default value. This can be particularly helpful if your Maximo environment struggles with performance.
